Farm Management System

Stop running your farm from a notebook. An online shop with a landing page of your own, orders on WhatsApp if you want them, and a point of sale (POS) for the gate, all for your produce or seedlings and paid for by M-PESA or card, with every harvest, your stock and your costs recorded behind it. Customers order, you see what is ready and what to deliver, and on Pro a profit report shows what each greenhouse or field sold, cost and earned.

Monthly billing. Moving between tiers changes your plan, not your records. The shop, your landing page, WhatsApp ordering, delivery rules, customer messages, customer credit and every way of being paid are on both plans.

How the two tiers work

FMS Core is the whole system. FMS Pro adds planning and reporting.

Core runs your farm from the records to the shop, payments, WhatsApp ordering, customer messages and customer credit included. Pro is for when you want to see which section earns, plan ahead and give more people access.

  1. Step one

FMS Core, 50% off your first month: KSh 750, then KSh 1,500/mo

Track your greenhouses and fields, harvests, batches, stock and expenses. Sell at the gate with the POS, online through your own shop and landing page, or on WhatsApp, and take payment however your buyers pay, including from credit you hold for a customer. Core has room for up to 8 sections, 30 products in the shop, 2 staff logins and 500 MB of photos and files.

  2. Step two

    Run a season

One full cycle through the system is what makes the numbers worth reading. That is the same on either tier.

  3. Step three

    FMS Pro, KSh 5,000

When you want to see which section earned the most, plan with targets, yield benchmarks and budgets, set up repeat orders, see visitor statistics for your shop, list your produce on Watu Farmers Market, or need no limit on sections and shop products, up to 10 staff logins, roles you design yourself, 5 GB of photos and files, a bigger AI allowance and priority support.

Selling is not the difference between the tiers. The shop, your landing page, WhatsApp ordering, delivery rules, customer messages, customer credit and every way of being paid are on Core, same as Pro.

The selling

Point of sale Online shop Your own landing page WhatsApp ordering Delivery areas, days and prices Sales orders Customers Customer messages Customer credit Messages sent log M-PESA Card PayPal Paystack Stripe
The selling, in detail

An online shop with your name on it

Core and Pro sell the same way. Everything in this section is on both plans, and the only difference is room: Core lists up to 30 products in the shop, Pro has no limit.

A landing page you edit yourself

The page customers see first is built from sections you choose: an opening banner, pictures and text, what you sell, drawn from what is in your shop, common questions, what customers say and how to reach you. Pick what goes in the menu, add your social links, and press Save. The change shows on your site straight away, and the page reads properly on a phone.

Delivery that fits your farm

Set the areas you deliver to and what each costs, the days and hours you go out, and the smallest order you will take. Take a percentage off delivery on the days you choose or for bigger baskets. A crop that is not ready yet can be reserved for the day it is, and you can mark stock as ready so the shop sells only what you have counted.

Customers who order again

Customers who have ordered get a private Your week page by link, with no password. They see what is coming, order the same again in a few taps, and set up a scheduled order that repeats every week, every month or on a rhythm of their own. They can skip one, pause it or stop it. A scheduled order is a reminder with the basket already made: nothing is ordered or charged until the customer confirms it.

Messages in your own words

Ask customers how the delivery went, remind them when a scheduled order is due and, if you want it, send a weekly plan message. You choose email, text or both, the timing of each message and every word of it. A low rating puts a call-back on your task list, and a customer who is pleased can say whether you may show their words on your landing page.

Getting paid, and knowing about it

Customers pay by M-PESA, card, PayPal or Paystack (cards and mobile money), or when it arrives. You choose who is told about each order and each payment, including a short "payment received" message to the people you name, and whether a customer paying by Paystack has to give an email address at all. A customer can also pay from credit you hold for them, and if someone pays more than an order came to, you choose whether to refund the difference or keep it for them as credit.

Fixing an order afterwards

Open any order to send a payment link by email or text, copy it, or show a QR code for the customer to scan. Move the order to the right delivery area, change the day, edit the items, or write in a delivery on a past day. It is always a person pressing the button, and nothing goes out on its own. A change to a record older than your editing window goes to an approver first, with the before and after kept.

Accounts that join up safely

A customer's website account is joined to the orders, WhatsApp chat and credit held under their phone number only after a code proves the number is theirs. Nobody can claim a number, and the credit that goes with it, by typing it.

Knowing what a customer was sent

Every email and text FMS sends is written down: to whom, what it was, and whether it failed and why. Open it on the customer, on the order or on the Messages sent page, for the day someone says they never got their receipt. An email is kept by its subject, never its body, a text is kept with its words, and entries are cleared after six months.

Every shop also gets a privacy page in your farm's name, with a "delete your data" section and nothing to set up. It is a sensible standard, not legal advice, so have your own adviser read it. Texts go through your own text provider and cost what it charges.

Customer credit

Money you hold for a customer, spent on their next order

Credit is money your farm holds for a customer and spends on their later orders. It is on Core and on Pro, and the customer sees one balance however it got there.

Where it comes from

A customer pays more than an order came to and, if they agree, you keep the difference for them. They top up themselves, or you record a cash or M-PESA top-up. Or you give credit yourself, for example after a late delivery.

Their money, and your gift

Money a customer paid, over an order or as a top-up, can be refunded to them. Credit you gave can only be spent on orders. Credit has no expiry, and every entry is kept in a history that you and the customer can read.

Spending it

On a pay link, at your website checkout and in the WhatsApp chat, where the customer is asked first. On the website a six-digit code goes to the phone or email you already hold for them, so a typed number cannot spend someone else's credit, and a customer who is signed in needs no code. Credit that covers an order pays it. A smaller credit pays part, and the customer pays the rest.

Top-ups, if you want them

Let customers top up by Paystack from their private Your week page, their account and the checkout. It is off until you switch it on, it needs your own Paystack, and you set the smallest amount. In the WhatsApp chat, typing credit shows the balance and a button to their page. The top-up itself is made on that page, not in the chat.

Every farm gets a "How credit works" page in its own name, with your own words added, linked from the top-up screen. Credit moves no real money by itself: a refund is sent by you and written down in FMS against the customer's credit. Holding customers' money comes with rules, so have your own adviser read that page before you rely on it. It is a sensible standard, not legal advice.

Orders on WhatsApp

Let customers order in the app they already use

Customers message your farm's own WhatsApp number, tap their way through an order, and it lands in your orders like any other. It is on Core and on Pro.

What the customer does

They tap your shop's WhatsApp link, or scan its QR code on a poster or delivery note, and a chat opens with "Hi, I would like to order" already typed. The assistant offers buttons and lists: order, order the same as last time, or talk to a person. They choose items and amounts, the delivery area and day, check the summary, then pay, or pay on arrival if you allow it.

One shop behind it

It uses the same products, prices, stock, delivery rules and pay page as your website, so a number never differs between the two. Orders show as WhatsApp in your orders list, and the customer is told when their payment arrives. A customer with credit is asked before it is used to pay.

You stay in charge

A WhatsApp chats screen shows every conversation, how far the customer got and their order. When someone asks for a person, or the assistant cannot help, the chat is marked Needs a person: take it over, answer in your own words, and hand it back. FMS also checks the connection every half hour and tells you by email, and by text if you have texts set up, if it breaks.

Set up by you, with a guide

You connect your own WhatsApp number and Meta account, and a step-by-step guide in the app walks you through it, including which number to use. Until you do, the shop's WhatsApp link still works and opens a chat with the number you give it.

This is a scripted assistant for placing an order, not a chatbot that answers anything. It does not look up or cancel an order, and it does not use AI. It needs a WhatsApp Business Platform account of your own with Meta, usually on a number that is not also on the WhatsApp phone app. Meta checks your business first and sets its own charges for messages, and those are not part of your FMS plan.

An AI helper, if you want one

The jobs that eat your evenings, done as a first draft

Switch it on in Settings and FMS can write, read and look things up for you, using your own records. It only works when you press the button, and you check everything before it is saved.

Shop descriptions

One button on a product gives you a first draft of its description, written from what you already know about it. You change every word you like and save when you are happy.

Ask your farm

Type "what sold best this month?" or "what is running low?" and get a short answer from your own records, with the period it covers and what it looked at. It can only look, never change anything.

A Monday note

Each week the owners get a short summary: sales and spending against the week before, what is owed to you, what is running low and which plantings are late.

Receipts and M-PESA messages

Paste a payment message or photograph a receipt and the expense form fills itself in. You check it and save.

What it costs

  • Core includes 20 uses a month to try it. Pro includes 500. They start again on the first of the month.
  • A use is roughly one short piece of work: a shop description is about one, a question two to four, a receipt one or two.
  • Need more? Add a pack any time: 1,000 uses for KSh 500, 5,000 for KSh 2,000 or 20,000 for KSh 7,000. Bought uses never expire.

It is off until the farm's owner switches it on. Customers' names, phone numbers, emails and addresses are never part of what FMS sends, and what you type into a question or a message has phone numbers and emails removed first. Like any AI it can get things wrong, so read what it gives you.

Who it is for

  • Greenhouse growers who know exactly what the structure cost to build and could not tell you what came out of it.
  • Seedling nurseries propagating for other farms, who need to know which batch went where and who has paid.
  • Hydroponic and soilless growers whose input cost per cycle is exact and whose yield was never written down.
  • Growers who grade and pack before they sell, who need stock to stay right between harvest, packing and sale.
  • Growers selling direct at the gate, to market or on a weekly box, who want one record whether the sale happened in person, online or on WhatsApp.
  • People about to build who would rather not reconstruct year one later.

Not for you if you are looking for a business to start. FMS is the system you run a growing operation on, not a farm in a box.

Straight answers

What farmers ask first

Do I need internet at the farm?

To record something as it happens, yes, the same connection you would use for M-PESA on your phone.

In practice most people record in batches, at the end of the day or after a harvest, wherever they have signal. Nothing is lost by entering it later.

Can it tell me whether a particular greenhouse paid for itself?

Yes. The Section profit report shows, for any period you choose, what each section sold, what it cost and what was left over, with the margin. A section is a place you grow in: a greenhouse, a nursery bed, a hydroponic bay, a field or the packing shed. A batch is one planting in one of them.

Sales are counted for the section that grew the crop, oldest harvest first, and costs for the section you chose when you recorded them. Anything not tied to a section is shown on its own line, so the figures always add up to the whole farm. So "what did that greenhouse cost and what did it return" becomes a number instead of an argument.

Can customers order on WhatsApp?

Yes. Customers message your farm's own WhatsApp number and tap their way through an order: what they want, where it is going, which day, and how they will pay. It goes through the same shop, prices, delivery rules and pay page as your website, and the order shows in your list as a WhatsApp order.

It is on both Core and Pro. You can also share a short link and a QR code that opens the chat with "Hi, I would like to order" already typed.

Do I need a Meta account for WhatsApp ordering?

Yes, one of your own. The ordering assistant runs on a WhatsApp Business Platform account that you open with Meta, so customers see your business and not ours. Meta checks the business and the name customers see, and sets its own charges for messages, which are separate from your FMS plan.

A step-by-step guide in the app walks you through it. A number usually cannot be on the WhatsApp phone app and on the ordering assistant at once, so a separate number for the assistant is the easier choice. Your shop's WhatsApp link works before any of this is done.

Is the WhatsApp assistant a chatbot that answers questions?

No. It is a scripted assistant for placing an order, and it only offers buttons and lists. It does not answer free questions, look up or cancel an order, or use AI.

When a customer asks for a person, or the assistant cannot help, the chat is marked for you. You read every conversation on the WhatsApp chats screen, take a chat over, reply in your own words and hand it back. WhatsApp lets you write freely for 24 hours after the customer's last message, so the screen tells you when that window has closed.

Can my customers pay with M-PESA?

Yes, on both plans. Online, a customer can get an M-PESA prompt on their phone or pay to your pay-bill, and at the POS you send the prompt yourself. Card through Stripe or Paystack, Paystack mobile money and PayPal are there too, and you choose which ones your shop offers.

The order is not marked paid until the money is confirmed. Payments you record yourself, such as cash, are not announced, because you were there. Everything else tells the people you chose.

Can my customers reorder without ringing me?

Yes. Customers who have ordered online get a private Your week page. They can order the same again, and set up a scheduled order that repeats on a rhythm they choose and skip, pause or stop it. Each time one is due they get a reminder with the basket already made, by email or text as you have chosen, and nothing is ordered or charged until they confirm it.

That is on both plans. Repeat orders on FMS Pro are different: there you set up a weekly box or a standing delivery that raises its own orders.

Can I change an order after it is placed?

Yes. Open the order and you can move it to the right delivery area, change the day, edit the items, or send one item on a different day. A delivery can also be written in on a past day.

Past records are protected. Inside the editing window you set, a change simply happens. Beyond it, a person without the right sends it to an approver, and the before and after both stay on the record. Money never moves on its own when you edit items.

Can I chase a customer who has not paid?

Yes, from the order. Ask for payment sends the customer a link to pay what is left, by email or text, or you can copy the link or show a QR code for them to scan. The link opens without an account and lasts a week.

It is always a person pressing the button. FMS does not send payment reminders on its own, and every ask is written down with when, how and who, so you can see whether somebody has already asked.

Can customers keep credit for later orders?

Yes. Credit is money your farm holds for a customer and spends on their later orders. It comes from an overpayment they agree to keep, a top-up, or credit you give yourself, for example after a late delivery, and the customer sees one balance. It does not expire, and every entry is kept in a history.

A customer can use it on a pay link, at your website checkout (after a six-digit code, unless they are signed in) or in the WhatsApp chat, where they are asked first. Credit that covers an order pays it, and a smaller credit pays part with the customer paying the rest. It is on both Core and Pro.

Can customers top up their own credit?

Yes, if you switch it on. It is off until you do, it needs your own Paystack account, and you set the smallest top-up. Customers then top up from their private Your week page, their account or the checkout, and you can also record a cash or M-PESA top-up yourself. Typing credit in the WhatsApp chat shows the balance and a button to their page, and the top-up is made there, not in the chat.

It is on both plans. A top-up of KES 1,000 is KES 1,000 of credit, with nothing added on top. Holding customers' money comes with rules, so have your own adviser read the "How credit works" page FMS gives your farm before you switch it on. It is a sensible standard, not legal advice.

What if a customer overpays?

You choose, order by order. The difference can be refunded, or kept as credit, and only if the customer agrees. Say a customer paid KES 660 for an order that came to KES 550: you refund KES 110 or, with their agreement, keep KES 110 as credit for their next order.

FMS moves no real money, so a refund is sent by you and written down against the customer's credit. Only the customer's own money can be refunded. Credit you gave them can only be spent.

Can I see what messages a customer was sent?

Yes. Every email and text FMS sends is written down: to whom, what it was, and whether it failed and why. Open it on the customer, on the order or on the Messages sent page.

An email is kept by its subject, never its body, and a text is kept with its words. Entries are cleared after six months, so it answers "I never got it" this season, not three years ago. It is on both plans.

Does my shop have a privacy policy?

Yes. Every farm gets a privacy page in its own name, written from what you have switched on, so it only talks about what you really do. It has a "delete your data" section, and customers find a link to it at the bottom of your shop and landing page.

It is a sensible standard and not legal advice, so have your own adviser read it before you rely on it. Meta asks for a privacy page address when you publish the app behind WhatsApp ordering, and this is the one to use.

Does the AI helper see my customers' details?

No. A customer's name, phone number, email and address are never part of what FMS sends. A question like "who owes me money?" is answered with a total and how old it is, never a list of people.

It is also off until the farm's owner switches it on, and it only does anything when someone presses its button or asks it a question.

Can the AI change my records?

No. It drafts and it answers. A shop description or an expense is only saved when you press Save, and the question box can only look things up, never change them.

It also only shows each person what their role may see, so a cashier who asks about sales is told they may not see them.

Can the AI get things wrong?

Yes, like any AI. The figures it quotes come from your own reports and it lists what it looked at, but check anything important against the reports and read every draft before you save it.

Does it work on a phone?

Yes. It runs in a browser and is built to be used on a phone, which is where the POS and the harvest records actually get used.

Can my workers use it without seeing everything?

There are staff accounts with roles, so someone can run the POS without seeing your costs or margins.

If you need more people on it, or want to build your own roles, that is what FMS Pro is for: up to 10 staff logins instead of 2.

Can I get my data out?

Yes, and you should ask this of any system that becomes your records. Your harvests, stock, sales and expenses are exportable, and they are yours.

This is the question we would want answered before putting a season of work into someone else's software, so we would rather you asked it now than after.

What happens to my records if I stop paying?

Talk to us before you cancel and we will get your data out to you properly. We are not going to hold a season of your work hostage.

The system itself is part of the subscription, so access ends with it, but the records are yours to take.
